Online booking software should remove administrative work, not move it into a different screen. For a Canadian service business, the right choice depends less on the longest feature list and more on how the system handles your actual week.

Use this checklist before committing to a platform.

Start with the booking journey

Book a test appointment as if you were a new client. The service, provider, date, price and payment requirement should remain clear from start to finish. Test the flow on a phone because that is where many clients will use it.

Look for practical controls: service duration, buffer time, provider assignment, business hours, breaks, blocked time and protection against double booking.

Check Canadian payment details

Ask how online payments reach your business and what the software charges on each transaction. A low monthly price can hide a large payment markup. Confirm the currency, deposit options, refund process and payout onboarding before you publish the booking page.

Calendoria uses Stripe Connect for tenant payments. Each plan has a configurable platform transaction rate, and a tenant completes Stripe’s verification before payouts are enabled.

Decide whether bilingual service matters

English and French support is more than translating a menu. Client-facing booking details, service descriptions and messages should be understandable in the client’s chosen language. If your market includes Quebec, New Brunswick or bilingual communities elsewhere in Canada, test both versions before buying.

Calendoria provides English and French client experiences and supports bilingual content in key public-facing areas.

Price communication, not only software

Email and SMS are not free to send at scale. Ask whether reminders are included, capped or sold separately. A transparent credit system can be easier to control than an “unlimited” plan with hidden restrictions.

Calendoria tenants can purchase email and SMS credits as needed. The platform administrator can also grant promotional or support credits without changing the subscription.

Make sure the website can grow with you

A booking link is useful, but many businesses also need service pages, photos, contact details and a clear brand. Check whether the software offers a hosted website, an embed for an existing site and custom-domain support on the appropriate plan.

Calendoria offers three website templates on Solo, nine on Essential and all fifteen on Growth. Essential includes booking embeds; Growth adds the complete website experience, including custom-domain access where configured.

Test the unglamorous work

Before deciding, test these common tasks:

  • reschedule and cancel a booking;
  • change staff availability;
  • collect a deposit;
  • add a client note or intake answer;
  • find tomorrow’s schedule;
  • export or review the information you rely on;
  • understand what happens when email or SMS credits run out.

The best software is the one a busy owner can operate without becoming its part-time administrator.

Match the plan to the current business

A solo operator should not have to buy a chain-sized system. At the same time, changing platforms every year is expensive. Choose a product with a sensible entry plan and a clear upgrade path.

Calendoria’s Solo plan is designed as a focused starting point with the complete booking and payment experience. Essential adds more website choice, a custom domain, campaigns, and staff profiles. Growth is for businesses that need the full template collection, memberships, recurring bookings, campaigns and deeper brand control. Compare current plan prices or explore the live product experience.
