An appointment reminder has one job: help the client arrive prepared and on time. The best messages are short, specific and easy to act on.
Replace the brackets below with your own details. Do not include sensitive financial, identity or intake information in an SMS.
Booking confirmation email
Subject: Your appointment with [Business name] is confirmed
Hi [First name],
Your [Service] is booked for [Date] at [Time] with [Provider].
Location: [Address or meeting instructions]
Amount paid: [Amount]
Amount due at appointment: [Amount]
Need to make a change? [Rescheduling instructions]
Our cancellation policy: [One-sentence policy]
Thank you,
[Business name]
Short SMS reminder
Hi [First name], reminder from [Business name]: [Service] on [Date] at [Time]. Need to change it? [Short instructions]. Reply STOP to opt out where applicable.
Keep the business name near the beginning. Clients should not have to guess who sent the message.
Reminder with preparation instructions
Hi [First name], your [Service] at [Business name] is on [Date] at [Time]. Before you arrive: [one essential instruction]. Location: [short address]. Questions? [Phone number].
If preparation is complicated, link to a full page or email instead of squeezing ten steps into a text message.
Virtual appointment reminder
Subject: Your online appointment is tomorrow
Hi [First name],
Your [Service] with [Provider] begins at [Time] on [Date].
Join using this link: [Meeting link]
Please connect a few minutes early to check your camera and microphone. If you need to reschedule, contact us at [Contact details].
Last-minute opening message
Hi [First name], an opening is available for [Service] on [Date] at [Time]. Contact [Business name] if you would like it. The appointment is not reserved until we confirm.
That final sentence matters when several waitlisted clients are contacted.
What every reminder should include
- business name;
- service name;
- local date and time;
- provider when relevant;
- location or meeting details;
- one clear way to change the booking;
- essential preparation only;
- a concise policy reference.
Avoid promotional paragraphs in operational reminders. A client scanning a message between meetings needs the appointment details first.
